Abstract

Validating metadata in an academic environment by applying document management supported by process management in higher education institutions, allows the document to fulfill reliability, integrity, and authenticity characteristics, by describing the context where it was created and its processing. It is important to mention that the proposed research identifies the use of the metadata paradigm, which validates the automation and consolidates the prevention of the technological obsolescence that conceives the digital technical problems of greater risks in the generation and recovery of the information generated in the course and throughout time. According to research carried out in Ecuador, the University Polytechnic Salesiana is the only one that, in a collaborative environment, applies document management in the process management of the institution, defining its metadata scheme for the validation and contextualization of electronic documents. The use of a controlled language in the academic environment requires having an established standard in relation to the objects of description, since they ease access to information with the determined parameters in the higher education institution, since the strategies in each organization are those which guarantee access over time. Therefore, the qualitative approach has allowed to gather views and perspectives of metadata characteristics in the electronic document such as authenticity, reliability, integrity and availability because, at present, they are considered symbols that describe the context, content and structure it has been developed with. To this end, the archival description standards are combined exponentially with the metadata schema. All this, with the specific purpose of university institutions. The research shows that the use of the metadata schema is aimed at creating relationships between processes and the functional classification table, to level the connection between instances and processes in the long term, to determine the reference line in the generated documents, to define the computer applications to be used in the creation, reception and registration of documents and to ensure the validity of the document without having all the weight fall on the electronic signature certificate.
